It seems like you are proceeding in the correct direction. Have you accounted for the fill that must be purchased, delivered, spread and compacted?
The use of the crew and estimating the number of days is an acceptable method of estimating, but as you have found out, you must guess at the number of days required to complete the task.
If you were to build your estimate using unit price line items instead of trying to guess the number of days, then some of the guess work is taken out. The line items have a crew and daily output built into them, so once calculated, the end result shows a dollar value that includes for material, labor, equipment and mark-ups. The only thing you need to calculate is the material quantities.
